Cancellation & Reschedule

We understand that plans can change. The following outlines our cancellation and rescheduling terms. All retainers and payments are non-refundable once booked. Please review these terms carefully.

1. Cancellation by Client

All cancellation requests must be made in writing to [email protected].

If you cancel 30+ days before the event in writing, you may not be responsible for the remaining balance; however, all payments already made remain non-refundable.

Cancellations made within 30 days of the event may require full payment depending on scope, production status, and vendor commitments.

2. Rescheduling

Reschedules are subject to availability and may require a rescheduling fee. If the new date is not available, the cancellation policy applies.

All reschedule requests must be made in writing.

3. Scope Reduction

Reducing items or services after booking does not reduce the original investment once design work, planning, sourcing, and production have begun.

4. Client Responsibilities

The client is responsible for venue fees, required labor, security, and catering unless otherwise stated in the event agreement.

For outdoor events, the client is responsible for securing a suitable setup location and an indoor backup plan when needed.

If weather conditions threaten safety or design integrity, the client must decide to move the installation indoors at least 48 hours prior to the event whenever possible. Additional costs for location changes, labor, time, or reconfiguration may apply.

5. Safety & Right to Refuse/Stop Work

Rhode Wonderland reserves the right to pause or stop services if conditions are unsafe (harassment, threats, unsafe venue conditions, severe weather, or restricted access). In such cases, fees may still apply based on work completed and costs incurred.

6. Damages, Missing Items & Cleaning

The client is responsible for all rented items and decor once delivered/installed, including damage caused by guests, vendors, venue staff, weather, or mishandling.

If items are missing, damaged, or unusable, the card on file may be charged for repair or replacement at replacement cost.

Candle wax can permanently damage linens and rentals. Wax damage is billed at replacement cost.

7. Force Majeure

Rhode Wonderland is not liable for delays or inability to perform due to circumstances beyond our control, including but not limited to severe weather, natural disasters, government restrictions, power outages, acts of terrorism, pandemics, venue closures, or emergencies. In such cases, both parties will work together in good faith to reschedule or find an equitable resolution.

8. Vendor Cancellation Fees

If third-party vendors have been booked and paid on your behalf, any cancellation fees imposed by those vendors are the responsibility of the client and are separate from Rhode Wonderland's cancellation terms.
