Booking & Payment

Booking requires a 50% non-refundable retainer. Final payment is due 14 days before the event. We do not accept checks. Changes must be in writing. Client is responsible for damages, missing items, and cleaning fees. Outdoor events require a backup plan.

1. Booking & Retainer

To reserve your event date and begin planning, a 50% non-refundable retainer is required. This retainer counts toward your total investment and officially secures your date, time, and services.

Dates are not held without a signed agreement and paid retainer.

We recommend booking as early as possible, especially for peak season dates (October through May in South Florida).

2. Final Payment

The remaining balance is due no later than 14 days prior to the event date, unless otherwise stated in writing.

If the final balance is not received by the due date, services may be paused or cancelled and Rhode Wonderland is not obligated to proceed with setup or installation.

3. Accepted Payment Methods

We accept credit/debit card and approved electronic invoice payments.

We do not accept checks.

A valid card may be required to be kept on file for incidentals, damages, missing items, overtime, cleaning fees, or approved additions.

4. Changes, Add-Ons & Scope

All changes must be confirmed in writing (email is acceptable). Verbal requests are not binding.

Add-ons may be approved at any time and will be billed accordingly.

Reducing items or services after booking does not reduce the original investment once design work, planning, sourcing, and production have begun.

5. Color/Theme Change Window

If you need to change colors or theme direction after booking, the request must be made within the following window:

Events 30–60 days away: within 14 days of paying the retainer.

Events 60+ days away: within 30 days of paying the retainer.

After that window, changes may be limited or require additional fees.

6. Setup, Installation & Site Access

Setup time is based on scope. Our team typically arrives 1–4 hours before event start (or earlier if required).

The setup area must be clear and accessible at the scheduled arrival time.

No guests or vendors may interfere in the setup zone until we complete installation and capture professional photos/video.

Once installed, decor should not be moved or adjusted by clients or guests. If items are moved, damaged, or go missing after installation, replacement fees may apply.

7. Pickup, Breakdown & Rentals

If your package includes rentals or items requiring pickup/breakdown:

Items must be accessible at the agreed pickup time.

If our team cannot access items for pickup (locked area, items relocated, venue restriction, etc.), additional fees may apply including additional day rental and an extra trip fee.

8. Damages, Missing Items & Cleaning Fees

The client is responsible for all rented items and decor once delivered/installed, including damage caused by guests, vendors, venue staff, weather, or mishandling.

We do not provide complimentary cleaning. If items are returned excessively dirty, stained, soaked, wax-damaged, or contain food debris, a cleaning fee may apply.

Cleaning fee: $250 (up to 75 guests). Additional guests may incur additional cleaning fees.

Candle wax can permanently damage linens and rentals. Wax damage is billed at replacement cost.

If items are missing, damaged, or unusable, the card on file may be charged for repair or replacement. We may notify you with an itemized invoice.

9. Outdoor Events, Weather & Client Responsibility

For outdoor installations, the client is responsible for securing a suitable setup location and an indoor backup plan when needed.

If weather conditions threaten safety or design integrity (high winds, rain, storms, extreme heat, etc.), the client must decide to move the installation indoors at least 48 hours prior to the event whenever possible.

Additional costs for location changes, labor, time, or reconfiguration may apply.

10. Safety & Right to Refuse/Stop Work

Rhode Wonderland reserves the right to pause or stop services if conditions are unsafe (harassment, threats, unsafe venue conditions, severe weather, or restricted access). In such cases, fees may still apply based on work completed and costs incurred.

11. Force Majeure

Rhode Wonderland is not liable for delays or inability to perform due to circumstances beyond our control (including but not limited to severe weather, natural disasters, government restrictions, power outages, acts of terrorism, pandemics, venue closures, or emergencies).

12. Photography & Marketing Use

By booking with Rhode Wonderland, you grant permission for Rhode Wonderland to photograph/video the setup and event design for portfolio, marketing, and promotional use, unless you request a written opt-out prior to the event.
